Brief description

Development of a new application that provides convenient support for all the relevant business processes in insurance consulting: acquiring interested parties, managing clients, policies and contracts, transaction management, central post and fax center, settlement, invoicing, open items management, archiving, financial accounting with bank account management and interface to DATEV. Implementation of a largely paperless office.

Supplement

A solution that uses only the Lotus Notes/Domino standard tools is designed and implemented. More than 20 databases are involved in total. Within two years, about 35,000 documents were created by users in the central transaction database. The central inbox is implemented by means of a network scanner (HP Digital Sender); before incoming post is scanned, it is assigned to transactions. A flexible interface that can be parameterized by users makes it possible to import address material from various providers in order to support the acquisition process. An interface to "StarMoney" is implemented in order to manage bank accounts. Account postings are exported from StarMoney, imported into the system and they are then available for technical financial issues. The DATEV interface uses the DAMO32 tool. The user administration implemented is adjusted to the specific customer requirements.

Subject description

The law firm's task is to provide specific risk protections for clients and to support their clients in all insurance-related matters. To do this, special contracts are negotiated with insurers. Clients, insurers and contracts have to be managed; as do all activities, correspondence and dates that the law firm administers. It must be possible to make statements at all times about the contract status, financial outlook or a client's or insurer's activities. All the essential data for a client, insurer, contract or activity should be available to employees with just a few clicks. All the law firm's services, from phone calls through to on-site consulting, are entered to the minute in an accounting system and are processed with the settlement system. Cash flows between the law firm and client or insurer have to be checked and controlled. Workflow and schedule management are available by means of reminders. The system provides convenient support for the creation of "mass bills" and serial e-mails.
