Development of a chatbot for the homepage

This IT project is part of our digitalization and optimization of our customers’ IT landscape. Through targeted measures, we promote technological progress, optimize cross-system processes and create a sustainable basis for future developments. Our IT reference projects serve as a basis for orientation. They support the reusability of tried and tested concepts as part of project implementation.

Brief description

As part of the project, the customers existing website chatbot was replaced with a modern, scalable solution based on Microsoft Copilot Studio. The goal was to fully retain the existing functionalities while at the same time providing a future proof, extensible architecture for AI based optimizations. The new solution integrates seamlessly into the customers existing CRM system landscape and meets high data protection requirements. Our services included the design of the target architecture, the technical implementation of the chatbot including CRM integration, the structured redevelopment and optimization of the existing dialogue logic, ensuring regulatory compliance, and conducting comprehensive quality assurance through to golive.

Supplement

The customers chatbot solution was implemented within a Microsoft cloud architecture based on Microsoft Azure. Microsoft Copilot Studio was used as the central development and orchestration platform. The chatbot is based on guided dialogues that enable a clear question and answer structure. All conversations follow predefined decision trees (rule based dialogue management). This ensures that all responses are consistent and technically accurate, that the dialogue flow remains controllable, and that new topics can easily be added or existing paths adjusted. The responsive chat widget was integrated into the customers existing content management system (TYPO3) and embedded using HTML elements and a JavaScript snippet. The design was adapted to the corporate design by means of CSS customization.

Subject description

The chatbot serves as a digital self-service channel for the automated handling of standardized customer inquiries and helps reduce the workload of customer service while simultaneously improving availability (24/7). Through its structured dialogue flow, a high level of response quality and process reliability is ensured. The selected no-code/low-code architecture enables the customer, after appropriate training, to independently: adapt content, optimize dialogue paths, model new topics, and implement continuous improvements based on user feedback. By taking current data protection requirements, role-based access concepts, and secure API communication into account, the solution meets high standards of IT compliance and information security.
