For optimizing the communication paths between business and IT and to ensure effective definition, documentation, steering and implementation of requirements we have developed a requirements management process together with our client.

The designed process does not only include the necessary steps for defining and documenting the requirements but also builds a meeting structure that ensures regular communication between business and IT about the state of the requirements. The process itself is document in BPMN. Templates and libraries are created in Confluence and Teams.
Subject description
For a more efficient communication between all relevant stakeholders we build a strategy that uses a small set of defined roles. Information about requirements and IT products shall only be shared over these established roles to prevent overloads or unclear and unaligned communications. On IT side these roles are the Product Owner and the Head of IT and on business side the Process Owner and the Key User. Every Product Owner is resonsible for an IT product that may include several applications. Each IT Product may have several Key Users (Business) assigend who deliver and define the requirements. The established meeting structure is basically including two regular meetings. First a meeting between Head of IT and all Product Owners and second a meeting between Product Owner and Key Users. By this regular exchange we aim to activate several positive effects and synergies such as the discovery of potential dependencies of requirements between different IT products.
