Introduction MS Dynamics 365

This IT project is part of our digitalization and optimization of our customers’ IT landscape. Through targeted measures, we promote technological progress, optimize cross-system processes and create a sustainable basis for future developments. Brief description

Implementation of Microsoft Dynamics 365 as a central, company-wide address management system ('single source of truth') at a public funding institution in the media and culture sector. All contact and organizational data is consolidated in Dynamics 365; the integrated systems for newsletter distribution, event management, grant processing, and Outlook obtain their address data exclusively from there. In addition, a GDPR-compliant consent management system, a role- and permission-based model, and self-service data maintenance for external contacts are being implemented, and legacy data is being migrated.

Current Situation: Contact and organizational data are maintained in multiple, redundant locations-in a legacy CRM system, in line-of-business applications, and in numerous Excel spreadsheets. Recently, it has become impossible to export mailing lists from the legacy system, effectively blocking segmentation for newsletters and events. There is a lack of a unified database, a robust GDPR audit trail, and a coordinated access control policy across departments. Objective: A central address database without duplicate data entry, featuring an Outlook address book for all employees, department-specific address books, full GDPR compliance, self-service data maintenance, and automated synchronization of connected systems-all audit-proof and auditable. Approach: Implementation in seven phases-analysis, design, implementation, integration, migration, testing, and go-live, followed by hypercare. Requirements and architecture recommendations are maintained as a versioned knowledge base in the repository.

Subject description

Subject Matter Domain: Address and master data management in public funding. The data model encompasses organizations (companies, associations, institutions, government agencies), individuals in various professional roles (contacts, grant recipients, press representatives, jury members, event guests), and their relationships to funded projects, events, and communication segments. Key functional areas include the mapping of grant projects and grant recipients, segmented newsletter and press distribution lists with double opt-in and unsubscribe processes, the transfer of target groups to an event management tool with feedback of attendance data, the provision of contacts in global and department-specific Outlook address books, self-service data maintenance by external contacts, as well as GDPR-related topics (legal bases, proof of consent, deletion policy, audit-proof logging), and a department-specific role and authorization model.
