Brief description
The payment run in the accounts payable department of a plant and building technology company is to be optimized. The checking of incoming invoices and the approval of payments by the subsidiaries is to be simplified and accelerated. As part of a more comprehensive project to digitize incoming invoices, SAP-supported processes will also be adapted and expanded.
Supplement
SAP ERP 6.0 with the modules FI, CO and PS is used for accounting and controlling. Operational processing (costing, project processing, materials management, invoicing) is carried out using industry software, whereby SAP forms the leading system for master data administration. In addition to the functions of the standard software systems, JobRouter is used in particular to implement the processes for the decentralized units by providing web applications. Since materials management is not used in SAP for purchasing and goods receipt, logistics invoice verification cannot be used.
Subject description
The optimization of the payment run is part of a larger digitization project in which the processes of invoice verification are largely automated starting from the scanning or transfer of supplier invoices in order to improve the cooperation between central accounting and the operative branches. While accounts payable accounting works with the FI standard functions, the checks and releases of invoices in the branch offices are supported by web applications based on JobRouter. For this purpose, the payment list is prepared in the SAP system and exported to the JobRouter application so that it can be processed and released by the auditors in the branch offices. The results are re-imported into the SAP system and a new payment proposal is generated to execute the payment run.
