Creation of a BPM handbook

Brief description

PTA supports the client with the creation of a BPM handbook. This handbook is to be embedded in the corresponding community on the social intranet platform and answer frequent questions that employees might have. A PTA employee contributes his process management expertise and helps to structure and formulate various handbook articles. As a BPM suite, the customer recently started using the Cloud Software Symbio in the web edition from Plötz und Zeller. As part of a preliminary project, all business processes were migrated there. The articles are elaborated with products of the Office suite and a SharePoint file storage; the intranet platform is a COYO Cloud solution.

Supplement

The handbook is intended to serve as a first reference and to answer questions such as 'What is process management?', 'Why should you document your processes?' or 'What kind of support is available?'. A rough description of the Symbio tool as well as its accessibility, basic functionality and user roles will also be created for the handbook. The procedure is based on Kanban. The respective status of the tasks are tracked by the PTA employee. In regular discussions with project management and the other authors of the manual – members of the client's internal BPM team – progress is discussed and the quality of the articles gets continuously improved. The future readers should be motivated by the manual to document and improve their processes. A central challenge is therefore to take the view of the colleagues and to understand them as 'customers' of the BPM team ('Customer Journey').

Subject description

The client has already carried out several mergers and separations of business units as well as restructurings. For this reason, the processes documented in the past were distributed across several BPM or process modeling tools. The implementation of Symbio and the consolidation of all processes in one tool was therefore a necessary step. This also results in the need for a handbook. Processes are now no longer documented solely because of regulatory requirements, but to use them as the basis for the continuous improvement process (CIP). For this purpose, PTA also creates a number of PowerPoint slides to underpin this strategy and provides support for the clean-up and consolidation of the migrated processes in Symbio.
